Your retailer's packaging data request, answered per SKU

The ask

The EU Packaging and Packaging Waste Regulation (Regulation (EU) 2025/40, better known as PPWR) entered into force on 11 February 2025 and applies from 12 August 2026, replacing the Packaging Directive that stood since 1994. It regulates the packaging itself: what it is made of, how heavy it is, whether it can be recycled, and what has to be documented before it may be placed on the EU market.

Retailers are not waiting. To meet their own obligations, they are sending suppliers per-product packaging data requests: spreadsheets or portals asking for every packaging component per SKU, its material, its weight in grams, recycled content, recyclability, and identification codes. These templates can approach a hundred fields per product, and the deadline is set by the retailer’s compliance calendar.

The legal logic behind the request is in the regulation. Suppliers of packaging must give manufacturers the information needed to demonstrate conformity (Article 16). Distributors must exercise due care before selling packaged products (Article 19). And a producer who is not registered for extended producer responsibility in a Member State may not sell there at all (Article 44). So the data duty rolls downhill, and it lands on you as the supplier.

Who this applies to

You, if you sell packaged products into EU retail under your own name or trademark. Under the PPWR, the party whose name is on the product generally carries the manufacturer’s obligations: conformity assessment, technical documentation, and correct labelling. For private-label products that role shifts to the retailer, which is exactly why they then turn around and ask you for the underlying data.

To be precise: the PPWR applies to virtually all packaging placed on the EU market, whatever the sector. The data requests we answer are concentrated where branded suppliers meet large retail and distribution. If no retailer has asked you for packaging data yet, this deliverable is not urgent for you today; when the first template lands, it is.

What you need to have ready

This list doubles as our intake. You do not need all of it; whatever is missing becomes part of the gap list we deliver.

• Your product list for the SKUs in scope, with EAN/GTIN codes
• Packaging specifications per SKU: which components exist (container, cap, label, liner, box) and the material of each
• Component weights in grams, or the packaging itself so weights can be established
• Data sheets or declarations from your packaging suppliers, including recycled-content statements
• Artwork or label files showing on-pack material markings
• The list of EU countries where the SKUs are sold
• Any existing EPR registrations or packaging reports you have filed before
• The retailer’s template and covering instructions, exactly as you received them
