Your EcoVadis questionnaire, answered and evidenced

The ask

EcoVadis is the sustainability rating your customers ask for. A procurement team requests an assessment of your company, you receive an email invitation, and from that point a clock is running: the standard submission deadline is 30 business days, and invitations tied to a tender or RFP can be shorter with no extensions. Your customer sees your progress and automatically receives your result.

The questionnaire is customised to your size, industry and countries, across four themes: Environment, Labor & Human Rights, Ethics, and Sustainable Procurement, with 21 underlying criteria. The catch that costs companies their score: an answer only counts if the right document is attached to it. After submission, EcoVadis typically publishes the scorecard in 6 to 8 weeks, and the result stays valid for 12 months, so next year the same work comes around again.

Who this applies to

Companies whose customers use EcoVadis in their supplier programmes. In practice that reaches deep into the European mid-market: if one large customer runs an EcoVadis campaign, their suppliers get invited regardless of their own size, and the questionnaire scales down but never disappears.

This deliverable fits you if the invitation is in your inbox, or you know it is coming, and nobody on your team has the weeks it takes to collect policies, map evidence to themes, and answer every activated criterion properly. If you already hold a solid EcoVadis score and just need this year’s resubmission, the same deliverable applies; the work is smaller and the price reflects that, with annual reassessments from EUR 1,950.

What you need to have ready

This list doubles as our intake. You will not have everything, and that is fine: what is missing becomes the gap list, which tells you exactly what to fix before the next cycle.

• The EcoVadis invitation email or your account details, so we work on your actual scope
• Environmental, health and safety policies, if you have them
• Code of ethics or code of conduct
• Employee handbook or core HR policies
• Certificates you hold, such as ISO 9001, ISO 14001 or ISO 45001
• Your most recent sustainability report or annual report, if any
• Any audit reports, customer assessments or prior EcoVadis scorecards
• KPI data you track: energy, emissions, safety incidents, training hours

One caution we will always repeat: EcoVadis gives no credit for documents created solely for the assessment, so adopt them genuinely and they pay off in your next cycle.
