Why the request lands on a manufacturer
EcoVadis is a business sustainability rating that large buyers use to screen their supply base. If your company sells into a customer that runs an EcoVadis supplier programme, the request does not depend on your own size: one large buyer running a campaign is enough to pull small and mid-sized suppliers in behind it. For manufacturers, this usually arrives as an email from a procurement contact, often tied to a tender, a supplier onboarding step, or an annual review.
Once the invitation lands, a clock starts. The standard submission window is 30 business days, and campaigns linked to a tender or request for proposal can carry a shorter, non-extendable deadline. Your customer typically sees your progress on the platform and receives the result automatically once it is published.
How the questionnaire scales to you
The EcoVadis questionnaire is not one fixed form. It is customised to your company’s size, sector and country footprint, so a 40-person parts manufacturer answers a different, shorter set of questions than a 2,000-person group. What stays constant across every scope is the structure: four themes, Environment, Labor and Human Rights, Ethics, and Sustainable Procurement, built from 21 underlying criteria.
Smaller manufacturers often assume a shorter questionnaire means less work. In practice the work is proportional but not trivial: even a lean scope asks for policies, records and management practices that a small operations team may never have written down, because nobody has asked for them before.
Why documents decide the score, not intentions
The detail that catches manufacturers out is simple: an answer only counts toward your score if the right document backs it up. Saying you manage a topic well is not evidence. A dated policy, a certificate, a training log or an audit report is. EcoVadis also gives no credit for documents written solely to pass the assessment; evidence has to be genuine and in use, carrying your company’s name and a valid date.
This is why the preparation work is mostly a document exercise: pulling together environmental and health and safety policies, a code of ethics, HR policies, any ISO certificates (9001, 14001, 45001 are common in manufacturing), your latest sustainability or annual report if you have one, and whatever KPI data you already track on energy, emissions, safety incidents or training.
Medals are percentile-based, not a fixed bar
EcoVadis awards medals by percentile rank against everyone assessed that year, not against a fixed score threshold. As of the current medal structure, Bronze sits at the top 35%, Silver at the top 15%, Gold at the top 5%, and Platinum at the top 1%. That means your result depends partly on how your management system compares with the pool of companies assessed in the same period, which shifts year to year.
The consequence for any manufacturer, and for anyone helping you prepare, is that nobody can promise a score or a medal. EcoVadis determines scores independently, based on the evidence submitted and how it compares across the assessed population that cycle. Preparation can make sure your existing practices are properly evidenced and nothing scoreable is left off the table; it cannot guarantee where you land.
Timeline and what happens after submission
After you submit, EcoVadis typically publishes the scorecard within 6 to 8 weeks. The result is valid for 12 months, and most customer programmes expect an annual reassessment, so the questionnaire returns on a yearly cycle rather than being a one-time exercise. Each reassessment is also a chance to close gaps identified the previous year: a missing policy adopted in the meantime, a certificate renewed, an incident log properly kept.
For a manufacturer preparing for the first time, the practical order is: gather the invitation and account details so the scope is accurate, collect existing policies and certificates, pull together whatever KPI data already exists, and note what is genuinely missing rather than guessing. The gap from that first pass usually tells you more about next year’s priorities than the score itself does.
